A calendar is a decision log
If the sheet only has dates and titles, it is a wish list. A working system records what you are making, what it is for, what you will reuse, and whether a model could find it six months from now.
Use one row per piece. Fill the row before you open a blank page. If a row stays empty, you are not shipping that week. You are hoping.
The columns
| Column | What belongs there |
|---|---|
| Ship date | The day it goes live. Not the day you meant to start. |
| Piece | Working title, one line. Specific enough that a stranger could brief it. |
| Job | The decision or action this piece is for. “Hire,” “book,” “reuse internally.” |
| Audience | One group. If you write two, split the row. |
| Format | Essay, checklist, case, short post, email. One format per row. |
| Reuse from | The asset this is cut from, or “new.” Most weeks should not say “new.” |
| Owner | One name. Committees do not ship. |
| LLM findable | Yes / thin / no. Yes means a model could cite a clear claim, a name, and a date. |
| Status | Briefed, drafted, reviewed, live. Nothing else. |
A four-week sample
This is a pattern, not a prescription. Copy the shape. Change the topics.
| Week | Piece | Format | Reuse from | LLM findable |
|---|---|---|---|---|
| 1 | Framework: how we pitch AI work internally | Essay | New (source of truth) | Yes |
| 1 | Three lines from the framework for LinkedIn | Short post | Week 1 essay | Thin |
| 2 | Checklist: what we will not claim in AI copy | Checklist | Week 1 essay | Yes |
| 3 | Case note: one measured workflow, numbers included | Case | Internal review notes | Yes |
| 4 | Email: the case note, cut for people who will not click | Week 3 case | No |
Notice the ratio. One source of truth. Three derivatives. If every week is “new,” you will burn out and the archive will not compound.
The LLM column, in practice
A model can find a page that states a claim, names the who and when, and does not hide the point under a hook. A teaser post is allowed. It is not findable. Mark it thin or no, and point it at a yes row.
- Yes: a named process, a number, a date, a person or company in context
- Thin: a useful post that only makes sense if you already follow the author
- No: a tease, a quote card, an event reminder. Fine to ship. Do not count it as the week’s durable piece.
Cadence you can keep
Pick a load you would still hit in a bad month.
- One durable piece every two weeks (the yes row)
- Two derivatives in the weeks between
- A Friday 20-minute review: status column only. No new ideas in that meeting.
Print the columns. Make a sheet. If you want a Notion or Sheets file later, it will follow this exact grid.
